Announcements
Payroll Reminders
Fall adjuncts will be due in CORE July 21, 2023 to allow CLAS adequate time to review and approve.
- Adjunct faculty per credit minimum rate is $1,973.
- Adjuncts who have worked more than four semesters of continuous employment must minimally earn the 2% increased per credit rate of $2,012.46.
- Adjuncts who have worked more than twelve semesters of continuous employment must minimally earn the 3% increased per credit rate of $2,032.19.
Graduate Assistant Payroll:
Fall Grad students are due in CORE July 7, 2023, to allow CLAS adequate time to review and approve.
Upcoming Year End Reminders
- Due to the merit process, all AAUP employees will have a blackout period in CORE. Please do not submit any faculty continuations/renewals or other faculty changes until the Shared Services Business Center provides an update – this applies to any transactions effective August 23, 2023 and beyond. Separations can continue to be submitted as well as any transactions with effective dates prior to August 23, 2023.
- The Business Center reached out about departmental 6Ls that need RFDs. Please be sure to respond with the necessary information so that the Business Center can process the RFDs for the departments.
- The final Faculty Reports for FY23 will be on July 3, 2023, while the first Faculty Reports for FY24 will be sent on July 17, 2023.
Upcoming Deadlines
Key FY23 University Year End Deadlines
- Pro-Card: All Pro-Card transactions posted June 13 and prior will be considered FY23 transactions. The June 13 CBS statement must be submitted by the cardholder and fully approved by June 22, 2023.
- TFs, SSBAs, IB, GLT, DI – June 26, 2023.
RFD Deadline
- July 10, 2023: your BSC contact has reached out and will continue to monitor the 6L Deficits and will follow up as applicable.
- Keep in mind, 6L accounts will look off for a little while once FY24 starts since we will be waiting on final numbers from the Foundation.
Reinvestment Deadline
- Departmental Reinvestment decisions will be due to the CLAS Business Center by June 27, 2023.
- Please feel free to reach out to the Business Center if you have any questions regarding the information on your files or the Reinvestment process.
Interfolio
- The University is implementing Interfolio into the PTR process. It is strongly recommended that all users who will support the administration of the PTR process as system administrators complete the Interfolio Review, Promotion, & Tenure Unit Administrator Training Course in advance of utilizing the PTR module.

Travel
For trips longer than 30 days, requests for long-term per diem support will only be approved with justification for why extended per diem support is required.
- This may include specific requirements of research, limitations on accommodation related to the area of travel, non-food expenses that are being supported through per diems, or issues related to the individual context of travel.

Remote Work
- In certain special circumstances, 100% telecommuting is acceptable; however, this should only be approved in consultation with the Office of Human Resources and appropriate university senior leadership. The same approval process would apply to employees desiring to telecommute from another state. For positions where employees are 100% remote, a separate addendum must be submitted to HR.
- If someone is working off campus for all payroll types, it needs to be included in the offer letter. Details for travel expectations to campus and potential reimbursement details must also be included and discussed.

I-9 Forms
Once I-9 forms for new employees have been uploaded into the system, please send the hard copies to the Payroll Department to include in their confidential destruction.
Departments may want to review the hard copies to make sure there are none with the previous COVID language that still require original document review.
- Payroll is in the process of going through I-9’s over the last few years to identify which ones still require this language and will be reaching out in the coming weeks. The USCIS announced recently that all reviews of the original documents must be completed by August 31, 2023.
CLAS Software Updates
CHAD
Sabbatical report has been added under the Reports tab to show approved sabbaticals through current BOT meetings for your units.
BMS
Manage sections can now have individualized default settings for users.
CourseLeaf
- CourseLeaf will be implemented for the Spring 2024 semester, data will need to be entered independently for each unit. CLAS Shared Services is unable to feed the Spring 2024 data that is already in BMS into CourseLeaf.
- CLAS Shared Services Business Center has a priority to get data from CourseLeaf back into BMS- the timing of when the data will be available is TBD.
- On May 10, the Registrar’s Office had an open presentation detailing CourseLeaf integration. You can find the full presentation here, which includes the WebEx Recording.
Academic Impressions
UConn has partnered with Academic Impressions to offer professional development resources for higher education professionals. Resources include hundreds of hours of trainings in topics such as Academic Leadership, Advancement, Diversity, Equity, and Inclusion, Faculty Success, Leadership Development, Compliance, and more.
Trainings
- The Office of Student Financial Aid Services and UConn Foundation is having an in-service on the process of awarding scholarships and fellowships. They will go over the process from start to finish, including how to navigate each workflow, timelines for awarding, and how scholarships/fellowships can impact a student’s financial aid package. The event will take place on Tuesday, July 25, 2023 from 11:00-12:00 and will be both in person at the UConn Foundation (Board Rooms A, B, and C) or virtually. Use this form to RSVP by July 17th.
- The deadline to complete OIE’s Understanding Domestic Violence Training is July 1, 2023 for all faculty and staff. This can be completed through the Learning@Work portal. Please contact the Office of Institutional Equity at (860) 486-2943 or equity@uconn.edu for questions or concerns.

CLAS Shared Services Grant Management
- During the month of April, GMS assisted with 32 grant submissions totaling $14,671,112, and CLAS received 4 new awards totaling $1,639,232.
- GMS is currently reviewing and releasing almost 650 Effort Reports for Summer 2022 for individuals that had paid and/or committed effort on sponsored projects. Faculty must certify their own effort report along with any students that worked on their projects during the Summer 2022 period (May 23, 2022 - August 22, 2022). Effort reporting (or effort certification) is UConn’s means of assuring sponsors that the commitment of effort (proposed or otherwise obligated) to the project was met, the effort expended on the project was at least commensurate with the salary charged, and effort devoted to research and other sponsored projects was properly accounted for.
- Similar to Summer 2023, GMS will be entering pre-encumbrances for Graduate Assistants for the 2023-2024 Academic Year. As Graduate Assistant appointments are reviewed and approved, GMS will enter pre-encumbrances for these individuals.
CLAS Shared Services IT
Q: Drive Migrations
ITS will be looking to migrate Q: drives to SharePoint. Reach out to CLASIT@uconn.edu if you would like to discuss.
From ITS
- Your login credentials verify your identity and help guard your information. Compromised passwords can be used maliciously to represent you, and this makes effective password hygiene and monitoring essential for protecting your digital privacy both professionally and personally. ITS emphasizes creating long, strong, and unique passwords, using password managers, and turning on multi-factor authentication to accomplish the former. We have been using a service called “Have I Been PWNED (HIBP),” found at haveibeenpwned.com to accomplish the latter. ITS is aware of a number of compromised credentials, which we are correcting. This is currently an ad-hoc process, but we are moving to both standardize and automate discovery and remediation.
- The HIBP site can also be used by individuals to validate password security. You enter email addresses or phone numbers, and it provides information about accounts that have been compromised or “pwned” in a data breach. It does not automatically mean that your account at UConn is compromised. However, people often reuse passwords, and any compromised password is likely to be tried in other places associated with you.
