Fiscal Year Transition Updates

FY23 Hard Close

The FY23 hard close has not been confirmed. We will provide updates when information is available. Overall this does not have impacts on any of the current balances that you are seeing.

FY24 active & current fiscal year

When viewing account balances in FY24, it is important to include ‘Pending Ledger Entry’ as the FY23 hard close has not occurred and balances have not yet been carried forward.
When viewing Sponsored Project Account balances (5L and some 6L accounts) in FY24, please note indirect costs (NOPX) will need to be manually deducted from the Budget Balance Available.

Fall 2023 10th Day Data

Fall 2023 10th day data is due before Sept. 11, 2023. Please consider updating your IOR (Instructor of Record) details and other instructor assignments asap

Helpful Hints: If an export is run in CLSS it will include all the instructor names and roles in one line for each course. You can run different filters or pivots within the excel output to see which courses still need an updated assignment. A course with a ‘No name instructor’ is currently listed under ‘Staff’. You are welcome to update the instructor information in BMS for fall 2023, but it is not required at this time. Once we have full reporting capabilities we will import the data into BMS and only minor updates may be needed at that time.

CORE-CT Blackout Period

The Core-CT Blackout period for Aug. 23 continuations and changes for unclassified employees will be lifted after Aug. 22, 2023 and all transactions should be submitted in the window of Aug. 23-25. If you have any questions on processing, please reach out to bsc@uconn.edu.

Additional Time Approver Reminder

All supervisors should approve their own direct reporting employees, including faculty that oversee student labor. Approval is monitored by state auditors so delegates should only approve when the supervisor is unavailable to do so.

New CLAS Faculty Orientation

New CLAS Faculty Orientation will be held Tuesday, Aug. 22, 2023 from 9-11 a.m. in Oak Hall 101. New faculty will meet the College leadership, hear about expectations as a faculty member, and learn about services the College provides. Please plan all other onboarding around this event

RFD Signatory Approver Reminder

  • For RFD’s less than $10,000, please put Michelle Cahill as the RFD Signatory Approver.
  • For RFD’s more than $10,000, please put Ofer Harel as the RFD Signatory Approver and please send documentation to your Shared Services Business Center contact and let them know it is coming.

Professional Development Opportunities

CourseLeaf

  • A small update has been made in Courseleaf to ensure that students do not enroll in sections slated for cancellation. Departments should first change the status to "Stop Further Enrollment", save the section, and then reopen it to change it to "Cancelled Section". There is no longer a need to type “CANCEL SECTION” in the Internal Comments field.
  • To receive updates on CLSS and other scheduling issues, please subscribe to the Registrar Academic Scheduling LISTSERV.

CLAS Shared Services Grant Management

Did you know that GMS is responsible for reviewing effort reports for all paid personnel on grants? We are! We just finished Summer 2022 where we had over 700 reports to review for accuracy based on paid salary vs what was reported to the grant sponsor. Once the GMS team has reviewed the reports, we are responsible for routing the effort reports to faculty for their certification. CLAS has the most effort reports in the entire university. Effort reports are released three times a year by the Office of Vice President for Research.

During the month of June:

  • 39 grants were submitted by CLAS faculty, totaling a funding request amount of $32,099,055
  • 11 new awards were granted to CLAS faculty, totaling an awarded amount of $2,810,777

  • August is named after Augustus Caesar (grandnephew of Julius Caesar), the first emperor of the Roman Empire.
  • The Earl of Sandwich invented the sandwich in August of 1762 when he requested two pieces of bread with meat in the inside - August is now known as National Sandwich Month.
