July CLAS Shared Services Updates

Below is a roundup of important announcements and reminders from the Business Center. If you have a question or there is something that you'd like to include in the next roundup, please feel free to reach out to the Business Center via bsc@uconn.edu.


Announcements

Payroll Reminders

  • Fall adjuncts were due in CORE July 21, 2023 to allow CLAS adequate time to review and approve.
  • Fall Grad students were due in CORE July 7, 2023, to allow CLAS adequate time to review and approve.

Upcoming Year End Reminders

  • Due to the merit process, all AAUP employees will have a blackout period in CORE. Please do not submit any faculty continuations/renewals or other faculty changes until the Shared Services Business Center provides an update – this applies to any transactions effective Aug. 23, 2023 and beyond. Separations can continue to be submitted as well as any transactions with effective dates prior to Aug. 23, 2023.
  • The first Faculty Reports for FY24 were sent on July 17, 2023.

Remote Work

  • In certain special circumstances, 100% telecommuting is acceptable; however, this should only be approved in consultation with the Office of Human Resources and appropriate university senior leadership. The same approval process would apply to employees desiring to telecommute from another state. For positions where employees are 100% remote, a separate addendum must be submitted to HR.
  • If someone is working off campus for all payroll types, it needs to be included in the offer letter. Details for travel expectations to campus and potential reimbursement details must also be included and discussed.

Remote Shipping Guidelines

  • For employees that are 100% on-site or partially remote and live in Connecticut, all goods must be sent to a University campus or facility.
  • For employees that are 100% remote and live in Connecticut, departments may use an existing remote shipping process in HuskyBuy to ship directly to the employee.
  • For employees who are 100% remote and live outside of Connecticut, departments must email pcard@uconn.edu for an exception-based approval for goods to be shipped to the remote location.
  • For computer purchases, contact your local/departmental IT Support.

Records Compliance

I-9 Forms

Once I-9 forms for new employees have been uploaded into the system, you are welcome to send the hard copies to the Payroll Department to include in their confidential destruction.If you prefer to hold onto your files or shred them yourself, that is permissible too.

Departments may want to review the hard copies to make sure there are none with the previous COVID language that still require original document review.

  • Payroll is in the process of going through I-9’s over the last few years to identify which ones still require this language and will be reaching out in the coming weeks. The USCIS announced recently that all reviews of the original documents must be completed by Aug. 31, 2023.

If workers are 100% remote and unable to come to UConn, new employees will need to go to a notary to have page 2 completed and then share both pages of the I-9 form and copies of their documents with the Payroll Department. Review the I-9 page on the payroll website for more information.

Temporary Post Retirement and Reemployment Form:

All rehired retiree appointments will require the completion of the State of Connecticut Temporary Post Retirement Reemployment form (CO-1208) found on the HR & Employee Relations Forms webpage.

  • This will be necessary for all current and future hire requests and can be attached to the hire request for efficient processing.
  • Please contact SPAR@uconn.edu with any questions.

CourseLeaf

  • CourseLeaf will be implemented for the spring 2024 semester, data will need to be entered independently for each unit. Updates on CourseLeaf can be found on the University Scheduling website. CLAS Shared Services is unable to feed the spring 2024 data that is already in BMS into CourseLeaf.
  • CLAS Shared Services Business Center has a priority to get data from CourseLeaf back into BMS- the timing of when the data will be available is TBD.
  • All training sessions from the May’s Courseleaf workshops are available on the Registrar's website.
  • Upcoming Virtual Workshops will be limited to 12 people each and will be available to sign up for below

CLAS Shared Services Grant Management

During the month of May:

  • GMS assisted with 41 grant submissions
  • CLAS received two new awards totaling $921,239.

CLAS Shared Services IT

Migration of Google Workspace Data

  • You have probably seen the email from ITS regarding the migration away from Google Work Space to Microsoft 365. More information including a timeline can be found on the UConn ITS website.
  • We are looking for some help in identifying departments that are currently using Google for department business and processes. If your department is currently utilizing Google for business purposes, please email CLASIT@uconn.edu and let us know how Google is currently being used in your department. Please note that we will be working with faculty using Google for teaching separately.
