Announcements

Spring 2025 Special Payroll Deadlines

  • Processing Deadlines for PageUp Adjunct Faculty appointments for Spring 2025:
    • Transactions must be submitted in CORE-CT by Friday, Dec. 20.
    • Please submit all transactions by the CLAS deadline: Friday, Dec. 13.
  • Processing Deadlines for Graduate Assistant appointments for Spring 2025:
    • Due in CORE-CT by Friday, Dec. 6.
    • Please submit all transactions in CORE-CT to Shared Services by the CLAS deadline: Friday, Nov. 22.
  • Please be sure to meet the CLAS deadlines so that Shared Services will have ample time to review and approve for the University deadlines.

Annual Budget and Staffing Plan Meetings

Fall 2025/Spring 2026 Annual Budget and Staffing Meetings are actively being scheduled. For scheduling information or concerns, please contact mackenzie.murphy@uconn.edu.

University Funding Reminder

  • Per University and Provost guidance, as we approach the end of the calendar year, we want to remind everyone that given the current budget climate, all university spending is under close scrutiny.
  • University funds, including Foundation funds, may not be used for social functions (including, but not limited to, year-end or holiday parties and outings) that are attended primarily by university employees and/or their personal guests.

Compliance Chatter: Export Control

  • UConn University Compliance has released their newsletter featuring Export Control.
    • Key Takeaways:
      • Export Control laws are federal regulations that impact research, collaborations, and international travel and engagement – e.g. information, technologies, and commodities.
      • Traveling with UConn-owned equipment, like a laptop, outside the U.S. may require a license or authorization even if not traveling for research purposes.

CLAS Administrative Calendar Access

  • We are pleased to announce the launch of the CLAS Administrative Calendar, now available for access through the CLAS Knowledge Base.
    • This calendar consolidates key deadlines and important events, making it easier for you to stay informed and organized.
    • You can link it to both web and desktop versions of Outlook for an easy pint of reference.

BMS Open Sessions – December

  • The BSC will be holding a BMS Open Sessions on the following dates in Herbst Hall Room 408:
    • Friday, Dec. 6 from 10-11:30 a.m.
    • Thursday, Dec. 12 from 10-11:30 a.m.
    • Monday, Dec. 16 from 11 a.m.-12:30 p.m.
  • This is an opportunity to get first-hand assistance and review data.
    • Potential topics include for either AY24-25 or AY25-26 data:
      • CLSS updates.
      • Clean-up from CLSS import into BMS.
      • PS compare and clean up.
      • Teaching load clean up.
      • GA hours update and review.
      • Temp labor reconciliation.

Save the Date: CLAS DEI Foundational Concepts Training

  • CLAS is partnering with TLS Transformations to offer a series of trainings for diversity, equity, and inclusion.
    • Participants will increase their understanding of basic DEI principles and how they matter in the workplace.
  • Sessions for DEI Foundational Concepts will take place in Storrs Hall WW01.
    • Wednesday, Dec. 18 from 9 a.m-noon
    • Thursday, Dec. 19 from 1-4 p.m.
  • Trainings will be limited to 25-30 participants per session.

Save the Date: Health and Safety Training

  • Please join us for presentations from the UConn Fire Department and Environmental Health and Safety (EHS).
    • Topics will include:
      • Fire safety and fire extinguisher use.
      • AED, Narcan, and emergency first aid.
      • Occupational health and safety.
  • The event will take place on Wednesday, Jan. 15 from 9 a.m.-1 p.m.
    • Lunch will be served.

Core-CT Modernization

  • The Core Modernization Project is nearing completion.
    • This project is focused on changing the look and feel of Core-CT.
  • The Pay Period ending Nov. 14 (for time worked Nov. 1-14) is the last timecard entry and approval done in the current view.
    • Once pay confirm occurs on Wednesday, Nov. 20 the Core-CT system will be down for maintenance through Nov. 24.
    • Core will be available briefly on Thursday, Nov. 21 from 7:30 a.m.-noon before going back down for maintenance until Monday, Nov. 25.
  • The new modernized Core-CT will go live on Monday, Nov. 25 at 7:30 a.m.
    • Given that it is Thanksgiving week, it is encouraged for employees to submit their time on Monday, Nov. 25 or Tuesday, Nov. 26 to ensure that their supervisors have time to approve the following week.
  • SmartHR transaction pages should remain relatively similar to users for payroll authorization entry.
  • Updates can be found on the Core-CT Modernization Project Update page.

CLAS New Hire Searches

  • For CLAS TT/NTT teaching appointments, travel and meal related expenses can be reimbursed up to $2,000 per search.
    • Please include the search number within the report title in Concur when submitting reimbursements.
    • Expenses should be allocated to the CLAS Search Account: 2527220.
    • This includes the timeframe from the start of the search up until an offer is extended in Page Up. If you have expenses outside of this timeframe, please contact the Business Center.
      • The $2,000 allotment is for the search as a whole, not per applicant.
  • For all CLAS TT/NTT teaching and staff appointments, all advertising and background check costs are paid for by the College.
    • Please select the CLAS Search Account 2527220 in the PageUp dropdown when submitting searches and hire requests.

FLSA Updates for Fall 2024

  • Salary minimums for FLSA status will be increasing:
    • July 1, 2024: increasing to $844/week and $43,888 per year.
    • January 1, 2025: increasing to $1,128/week or $58,656 per year.
  • Generally, all positions at the University that are at or below the new minimums will be converted to Non-Exempt status.
    • Positions where the primary duty is teaching are excluded from this change, including Graduate Assistants (Teaching and Research titles).
      • UCPEA and Confidential Exempt employees – effective 8/23/24, these titles accrue comp time.
      • AAUP, Post Docs, Research Assistant/Associate, and Special Payroll – effective 9/20/24, these titles are paid out in the pay period when time is submitted.
  • Employees working >40 hours/week may request approval for submitting overtime hours and should not work overtime hours until approval is officially in place.

Business Center Coverage

Applies to areas where there is a singular administrator in the unit.

  • If you plan to be out of the office and will need departmental financial or administrative assistance/coverage, please contact bsc@uconn.edu to create a coverage plan ahead of time.
    • Please be sure to notify the Business Center if there is anything out of the ordinary to be aware of.
  • Administrative away messages should contain the dates you will be out of the office and refer emailers to contact bsc@uconn.edu if they need assistance.
    • Ex: I will be out of the office from Nov. 4-11 and will be returning Nov. 12. If you need immediate assistance during my absence, please contact the CLAS Shared Services Business Office via bsc@uconn.edu.

Monthly Meetings

  • Monthly meetings will take place between CLAS Shared Services Management and the following:
    • Controller’s Office will take place on Friday, Dec. 20.
    • Procurement will take place on Wednesday, Dec. 11.
    • Procurement and A/P will take place on Monday, Dec. 9.
    • Payroll will take place Wednesday, Dec. 4.
  • CLAS Business Center Monthly Topic Overview will be held on Thursday, Dec. 12. Please reach out to bsc@uconn.edu with ideas for future topics.

Professional Development Opportunities

  • LinkedIn Learning is now available at no cost to all UConn staff on Storrs campus as an e-learning resource.
    • LinkedIn Learning offers an opportunity to develop professional skills through a digital library of over 6,000 courses.
    • Visit the Microsoft App store and navigate to the LinkedIn Learning application to activate your license.
  • CLAS Shared Services has a lending library with a variety of books on professional development and self-improvement.
  • Academic Impressions offers professional development resources for higher education professionals. Resources include hundreds of hours of trainings in topics such as Academic Leadership, Advancement, Diversity, Equity, and Inclusion, Faculty Success, Leadership Development, Compliance, and more.
  • The Lexington Group, Inc is UConn’s Employee Assistance Program (EAP). The Lexington Group provides confidential face-to-face counseling, or in certain circumstances video counseling, to assist employees in identifying and resolving personal problems no matter how unique and diverse they appear. Examples include family and marital conflicts, stress, substance abuse, depression, and other emotional issues. The Lexington Group also assists with referrals for eldercare support, childcare, as well as legal and financial guidance through our Life Care program.
    • Employees may call The Lexington Group for immediate and confidential assistance at 1-800-676-HELP (4357) or access their website. The Lexington Group is available seven days a week, 24 hours a day

    • Travel Services will be holding bi-weekly Open Labs at 3 Discovery Drive in the Bid Room.
    • Please come prepared with receipts and supporting documents saved to your laptop or in Concur.

      • Half hour slots are available between from 10 a.m-noon.

CLAS Shared Services Grant Management

  • GMS implemented a new organizational structure starting Nov. 1. The GMS team has been divided into two groups: preaward and postaward. Relevant departments were informed of the changes in early November. With this restructuring, each team will focus exclusively on either preaward or postaward services, which is expected to improve efficiency and enhance support for faculty and department administrators.
  • For the month of October, CLAS faculty submitted 64 grant applications with a total requested amount of $57M.
  • For the month of October, CLAS faculty were awarded 20 new awards with a total funded amount of $10M.

CLAS Shared Services Information Technology

  • As of Nov. 1, ITS retired reportphishing@uconn.edu.
    • Please use the “Report” button on the “Home” tab of Microsoft Outlook to report all suspicious emails.
      • This automatically sends all phishing emails directly to ITS and deletes it from your inbox.
