June CLAS Shared Services Updates

Announcements

Annual Year End Deadline Reminders

  • View the complete list of University Deadlines.
  • Please note the following year end deadlines for CLAS:
    • All Invoices/Payments in HuskyBuy (DV, PREQ) and Employee Payments including Travel and Employee Reimbursements and Clearing of Travel Advances and Cash Advances for FY24 – Thursday, June 20.
    • Pro-Card Reports for all Pro-Card transactions with a posting date of June 13 and prior - Thursday, June 20.
      • Go to the Purchasing website under news flash for additional information on the submission of Pro-Card statements for this period.
  • Please submit all items by the internal CLAS deadlines listed above to allow enough time for review in time for the University deadlines.
  • All transactions submitted/approved after the above dates will post in FY25.

Graduate Payroll Deadline Reminder

  • The deadline for Graduate Payroll transactions in Core-CT for approval by the Business Center is Friday, July 12.

CLAS Faculty and Department Fiscal Year Report Schedule Changes

  • The last faculty and department reports for FY24 will run on July 1.
    • There will be no more department or faculty reports for FY24 after July 1.
    • They will begin again for FY25 on July 15.

CLAS Meal Guidance Update

Telecommuting Request Approvals

  • Effective immediately, non-union managers within each unit will have the authority to approve telecommuting requests submitted by employees within your department.
    • Human Resources has streamlined the approval workflow by eliminating HR as the final approver.
  • Telecommuting agreements must be submitted through the Telecommuting Request Form and approved by the appropriate non-union manager annually.
    • No new forms need to be submitted this year if there is already authorization until December 31.
  • Requests for 100% Out of State Remote Work and Flexible Work Schedule requests will continue to be reviewed and approved by Human Resources.

          CLAS Fellowship Form

            Travel Card Renewal

            • Travel Cards expire on the last day of the expiration month.
              • Airfare can be booked past the expiration date.
              • Hotels are not charged until checkout and must be updated with the hotel when the card is renewed.

            Relocation Reminders for New Hires

            • As you finalize new tenure track hires for the upcoming academic year, please work with the CLAS Business Center if you have any questions regarding the relocation process. Signature Relocation should be reaching out directly to the new hires once they have a signed offer letter through Page Up, but we are here to help as questions arise regarding the process.
              • The relocation allotment in the offer letter is not able to be changed once the letter is signed, so please be sure to include the relocation amount in any offer negotiation discussions.
              • UConn’s signature relocation contact is Kim Martin, but please start with the CLAS Business Center for any relocation questions first.
              • If any portion of the moving allocations are above the amount covered by the Dean’s Office, the CLAS Business Center will work with your department directly to gather information for the portion the department would cover.

              Monthly Meetings

                • Monthly meetings will take place between CLAS Shared Services Management and the following:
                  • Office of the Vice President for Research for Financial Operations will take place on Friday, June 21.
                  • Procurement will take place on Monday, July 1.
                  • Procurement and A/P will take place on Monday, July 8.
                • Please feel free to reach out to bsc@uconn.edu with any areas of concern to be discussed at any of these meetings.

                Professional Development Opportunities

                • LinkedIn Learning is now available at no cost to all UConn staff on Storrs campus as an e-learning resource.
                  • LinkedIn Learning offers an opportunity to develop professional skills through a digital library of over 6,000 courses.
                  • Visit the Microsoft App store and navigate to the LinkedIn Learning application to activate your license.
                • CLAS Shared Services has a lending library with a variety of books on professional development and self-improvement.
                • Academic Impressions offers professional development resources for higher education professionals. Resources include hundreds of hours of trainings in topics such as Academic Leadership, Advancement, Diversity, Equity, and Inclusion, Faculty Success, Leadership Development, Compliance, and more.
                • The Lexington Group, Inc is UConn’s Employee Assistance Program (EAP). The Lexington Group provides confidential face-to-face counseling, or in certain circumstances video counseling, to assist employees in identifying and resolving personal problems no matter how unique and diverse they appear.  Examples include family and marital conflicts, stress, substance abuse, depression, and other emotional issues. The Lexington Group also assists with referrals for eldercare support, child care, as well as legal and financial guidance through our Life Care program.
                  • Employees may call The Lexington Group for immediate and confidential assistance at 1-800-676-HELP (4357) or access The Lexington Group's website. The Lexington Group is available seven days a week, 24 hours a day.

                            Trainings

                                CLAS Shared Services Grant Management

                                • For the month of May, CLAS faculty submitted 51 grant applications with a total requested amount of $46.1M.
                                • For the month of May, CLAS faculty were awarded nine new awards with a total funded amount of $1.5M.

                                CLAS Shared Services Information Technology

                                • There is upcoming change to Teams that will impact older Windows 10 computers. Many of you maybe have received a notice when using Teams. CLAS IT is working on this issue. Feel free to reach out to CLASIT@uconn.edu for more information, upgrade options, or a workaround.
                                • Training and Professional Development:
                                  • University employees have access to libraries of training content in Viva Learning.
                                    • You can access the content through the Microsoft 365 dashboard, apps in Teams, or online.
                                  • Human Resources, in partnership with UCPEA, recently announced the availability of LinkedIn Learning for UConn staff.  This online resource provides premium training on a wide range of professional topics, including information technology.
                                    • This can be accessed directly through the UConn Apps dashboard or through Microsoft Viva Learning.
                                • ITS Account Migration
                                  • ITS has been progressively transferring clients off Google.  They helped alumni retrieve their data and have closed most of their accounts. For technical reasons, recent graduates were not part of this group and we will be separately facilitating their transition into our alumni forwarding service. Staff files have been moved to OneDrive and the associated Google accounts were closed.  
                                  • ITS is currently migrating active student email service, email data, and Google Drive files to Microsoft 365 in batches.  They provide specific directions throughout the process, but this is a substantive change, and some may struggle.  If students come to you with questions, you can direct them to the Technology Support Center or Knowledge Base (kb.uconn.edu), which contains a section devoted to migration support.  ITS will also be launching a new course in HuskyCT and offering a First Year Experience campus partner presentation to help new students acclimate to the Microsoft 365 environment.
                                  • ITS will begin staging the faculty transition in the middle of July and finalize their migration at the beginning of August. They will receive more specific information as this timeline approaches. ITS is offering one-on-one support via the Technology Support Center throughout the summer for faculty who wish to move their data themselves. Faculty can book an appointment.
