Announcements
Annual Year End Deadline Reminders
- View the complete list of University Deadlines.
- Please note the following year end deadlines for CLAS:
- All Invoices/Payments in HuskyBuy (DV, PREQ) and Employee Payments including Travel and Employee Reimbursements and Clearing of Travel Advances and Cash Advances for FY24 – Thursday, June 20.
- Pro-Card Reports for all Pro-Card transactions with a posting date of June 13 and prior - Thursday, June 20.
- Go to the Purchasing website under news flash for additional information on the submission of Pro-Card statements for this period.
- Internal CLAS Deadline for Payroll Funding Changes – Friday, May 24.
- Internal CLAS Deadline for Financial Processing (DI, GLT, TF, ST, IB, BA, SSBA) – Friday, June 14.
- Internal CLAS Deadline for Foundation Reimbursement (RFD) – Friday, June 14.
- Depts will hear from Business Center contacts for information on 6L account reimbursement.
- Please submit all items by the internal CLAS deadlines to allow enough time for review in time for the University deadlines.
- Your Business Center contacts are working on 6L RFDs and will be in touch, if you haven’t already heard from them, regarding these accounts and related foundation allocations.
- All transactions submitted/approved after the above dates will post in FY25.
- Please see the attached email from Accounting, which outlines steps to take to review “enroute” KFS edocs that you may have submitted this fiscal year.
CLAS Faculty and Department Fiscal Year Report Schedule Changes
- The last faculty and department reports for FY24 will run on July 1.
- There will be no more department or faculty reports for FY24 after July 1.
- They will begin again for FY25 on July 15.
Fall Adjunct Deadline
- Internal CLAS Deadline for Offer Letters for Fall Adjuncts in PageUp – Friday, May 31.
- University deadline for submission – Friday, June 7.
- Please submit all offers in PageUp by the internal CLAS deadline to allow the Business Center enough time for review in time to meet University deadlines.
- Fall 2024 Semester dates are 8/26/2024 through 12/18/2024.
- Per AAUP Wage Reopener Article 19.7, the following updates will be in effect starting August 23, 2024:
- Adjunct faculty per credit minimum rate is $2,062.
- Adjuncts who have worked more than four semesters of continuous employment must minimally earn the 2% increased per credit rate of $2,103.24.
- Adjuncts who have worked more than twelve semesters of continuous employment must minimally earn the 3% increased per credit rate of $2,123.86.
- The updated rates can be found in the compensation section of the Special Payroll Information page. Any adjunct faculty hire requests submitted with the old rates will be updated by the Special Payroll team prior to approval.
Adjunct Faculty Job Postings
- HR has updated the UConn Jobs webpage to include a separate link for Adjunct Faculty Opportunities.
- This will be easier to find and link for candidates and departments.
- Adjunct faculty job postings will continue to be managed outside of PageUp.
- Contact advertising@uconn.edu in order to post specific or general adjunct positions in multiple disciplinary areas or across multiple departments.
University Contracts
- You are able to view a listing of existing university contracts that are approved within UConn/procurement on the Purchasing website.
- If you have comments on vendors, please send your feedback to the Buying Agent in Procurement associated with the particular contract.
Unused Phone Lines
- If there are any unused phone lines in your department, please DO NOT cancel them since phone lines are a permanent cost.
- Please contact bsc@uconn.edu in order to take care of unused phone lines.
Foundation Scholarship/Fellowship Processing Timelines
- Reminder to begin submitting all scholarships and fellowships for this upcoming Summer term and for AY24-25.
- Fall fee bills are issued in early June.
- Spring fee bills are issued mid-November.
- Spring 2024 scholarships will not be posted after June 15, 2024.
- Predoctoral Awards are due in the respective systems by June 1, 2024.
- All summer and fall scholarships and fellowships are held until the start of the new FY.
- For example, a summer 2024 scholarship will be held until July and processed in FY25.
- These will not show up in FY24 financials, regardless of if they are submitted in FY24 – summer and fall scholarships and fellowships will hit the Foundation account in FY25.

- Once approved and processed by the University, the Foundation receives a report of current items to review and approve (generally on a monthly basis) – posting dates vary in Felix based on the information above, as well as the length of the report and when the Foundation receives this information.
- Other Foundation Processing Information:
- Payroll encumbrances can be reimbursed up to 6 months in advance on an RFD – all other expenses need to be paid before being reimbursed.
- Please note that multiple recipients should be listed on a form using the same account when submitting fellowships and scholarships.
New Post Doctoral Fellow Stipend Levels
- NRSA Minimum stipends for PostDocs hired after April 23, 2024 has increased to $61,008.
- Effective July 1st, 2024, the new minimum stipend will be $60,000 per the UAW PostDoc Contract Article 23.
- Past practice was to follow the NIH suggested minimums based on years of experience, but the new minimum salary required is based on the PostDoc Contract.
- Funding source does not matter when it comes to the minimums.
- If PostDocs are renewed after April 23 but before July 1, stipends have to be brought to $61,008.
- These stipend levels must be used when applying to the NRSA for support and must be consistent with the intended postdoctoral years of experience.
- Stipend level must be at least equal to the minimum NRSA rate.
- Reminders on annual increases:
- Done at time of renewal and reviewed by CLAS.
- Increase is a minimum of 3% or the minimum contracted amount, whichever is higher.

Fall Offer Letter Timeline
- Graduate Assistant (GA) Offer Letter Deadlines:
- Offer letters for continuing GAs are due by June 1.
- GA payroll transactions for next academic year (AY24-25) cannot be submitted in Core-CT until mid-June.
- Payroll will notify their processor listserv when fall transaction may be submitted.
Save the Date: Third Annual Conference for Administrative Excellence
- CLAS is excited to host its Third Annual Conference for Administrative Excellence on Wednesday, June 5 in Storrs Hall, WW01 and WW16.
- This event brings together staff from across CLAS for a day of collaboration, professional development, and networking and will feature large group sessions on high-impact topics, small group breakout sessions, and lunch.

Monthly Meetings
- Monthly meetings will take place between CLAS Shared Services Management and the following:
- Office of the Vice President for Research for Financial Operations will take place on Friday, May 17.
- Procurement will take place on Wednesday, May 29.
- Procurement and A/P will take place on Monday, June 10.

CLAS Meal Pre-Approval Form
- Reminder to submit a CLAS Meal Pre-Approval Form for 2024 in order to submit a request for business meals.
- You can also view the CLAS Meal Guidance Updated 2024 which will provide more guidance on if a pre-approval is needed.

- LinkedIn Learning is now available at no cost to all UConn staff on Storrs campus as an e-learning resource.
- LinkedIn Learning offers an opportunity to develop professional skills through a digital library of more than 6,000 courses.

- Academic Impressions offers professional development resources for higher education professionals. Resources include hundreds of hours of trainings in topics such as Academic Leadership, Advancement, Diversity, Equity, and Inclusion, Faculty Success, Leadership Development, Compliance, and more.
- The Lexington Group, Inc is UConn’s Employee Assistance Program (EAP). The Lexington Group provides confidential face-to-face counseling, or in certain circumstances video counseling, to assist employees in identifying and resolving personal problems no matter how unique and diverse they appear. Examples include family and marital conflicts, stress, substance abuse, depression, and other emotional issues. The Lexington Group also assists with referrals for eldercare support, child care, as well as legal and financial guidance through our Life Care program

CLAS Shared Services Grant Management
- For the month of March, CLAS faculty submitted 21 grant applications with a total requested amount of $20M.
- For the month of March, CLAS faculty were awarded 11 new awards with a total funded amount of $6M.
- New NRSA Post-Doctoral Fellow Stipend Levels - see outlined data noted above.
CLAS Shared Services Information Technology
- Information Technology Services (ITS)’s annual Staff Technology Day will take place on Tuesday, June 4 in McHugh Hall.
- This year’s conference will feature workshops and demonstrations featuring topics for beginner and advanced users.
