Annual Year End Deadlines

- Please note the following year-end deadlines for CLAS and the University:
- Internal CLAS Deadline for All Invoices/Payments in HuskyBuy (DV, PREQ) and Employee Payments, including Travel and Employee Reimbursements, and Clearing of Travel Advances and Cash Advances for FY25 – Friday, June 13.
- University Deadline – Friday, June 20.
- Internal CLAS Deadline for Pro-Card Reports for all Pro-Card transactions with a posting date of June 13 and prior – Monday, June 9th.
- University Deadline – Monday, June 23.

AY25-26 CLSS/BMS Import
As a reminder, the Shared Services Business Center is not making daily imports from CLSS into BMS. If a department needs their Fall 2025, Spring 2026, or AY25-26 schedule reimported into BMS for updates to course offerings and cap enrollment, please contact the Business Center directly with those details.
Guidance on Business Meals
- The College and University are working together to provide a clearer and defined policy related to Business Meals, but we would like to share some helpful guidance in the meantime.
- As your department is planning events, please consider the following important notes:
- Meals should be limited, and areas should strive to keep costs as reasonable as possible, meaning light refreshments such as cookies and soda.
- All employee meals (meaning either all faculty or all faculty and staff) are likely the least permissible unless there is a very good business justification for such a meal, and we are looking at a minimum of about 3 hours.
- Instances where food expenditures should not be made:
- Meals at social functions, such as parties or summer outings, attended entirely or primarily by University employees and/or their personal guests.
- Meals for faculty and staff that are purely for celebratory purposes.
- Team-building activities or retreats.
- Department monthly/weekly meetings consisting of just UConn staff/faculty.
- Food for regularly scheduled classes or grading sessions.
- Business meetings with a very small group of faculty over a mealtime (e.g., breakfast/lunch.)
- Donor cultivated events & Alumni events:
- Please reach out to the College's Alumni staff to ensure they are aware of your event and the type of support you are seeking before the event.
- Please submit a CLAS Meal Pre-Approval form, when needed, at least 10 business days prior to the event to allow for ample time for review.
Foundation Scholarship/Fellowship Submissions in Kuali Build
- Reminder to begin submitting all scholarships and fellowships for this upcoming Summer term and for AY25-26.
- Fall fee bills are issued in early June.
- Spring fee bills are issued mid-November.
- Spring 2025 scholarships will not be posted after June 15, 2025.
- Predoctoral Awards are due in the respective system by June 1, 2025.
- All summer and fall scholarships and fellowships are awarded until the start of the new fiscal year and the start of the semester, respectively.
- For example, a Summer 2025 scholarship will be held until July and processed in fiscal year 2026.
- These will not show up in FY25 Foundation financials, regardless of whether they are submitted in FY25.
- The award will post to the student’s fee bill/account in FY25.

- Please note that if an account has multiple recipients of the same award, they should all be listed on one form when submitting within the system.
- All submissions that total $10k or more in disbursements to students on one form should have a copy printed by the submitter and emailed to the Shared Services Business Center.

RFD Processing Update
- The CLAS Business Center has been collaborating with departments to process RFDs quarterly for all 6-Ledger Foundation Accounts this year, as required by the University and the Foundation. We will be following up in April on the last RFD cycle before year-end.
- If you plan to transfer expenses from a 6L KFS Foundation account, please consult with your CLAS BC contact or contact bsc@uconn.edu.
Post-Doc Appointments and Renewals Reminder
- Reminder regarding post-doc appointments and renewals:
- All post-docs must be renewed with a 3% increase (increases are not permitted outside of the renewal period).
- Effective July 1, 2024, post-docs need to be hired at least at a $60k starting salary.
- If a PI would like to pay above the 3% increase at the time of renewal, please obtain approval from the CLAS Shared Services Business Center and email bsc@uconn.edu.
- Appointments are typically for one year at a time; any appointments under 100% full-time equivalent (FTE) or for less than one year require approval from the CLAS Shared Services Business Center and Labor Relations.
- Approval is required to hire a postdoctoral researcher beyond a 5-year term, so please also consult with the CLAS Shared Services Business Center if this situation arises.
- Postdoctoral appointments cannot include any teaching duties – they must be strictly research-based.
- If there is a teaching component, that should be processed through Special Payroll, in addition to their unclassified post-doc position.

Summer 2025 Grad Appointments – Offer Letters
- Departments should hold off on issuing letters if funding is uncertain or there are concerns for the upcoming summer.
- Departments should ensure there is a backup, non-grant funded account (i.e., IDC, Start Up, etc.) available to cover the offered appointment to move forward in issuing a letter in PageUp, where funding is uncertain.
- Language should not be added to the offer letter stating that "the appointment is dependent on available funding."

Fall AAUP Travel Funds
The application period for AAUP/OVPR travel funds for the first half of Fiscal Year 2026 will open on May 1.
REAL ID Reminder
- Travelers will be required to present a REAL ID-compliant driver’s license or identification card to board domestic flights starting on May 7th, 2025.
- They can also present a valid passport.

New Student Employment Job Posting Platform
- Starting Thursday, May 1st, Student Employment and the Center for Career Readiness and Life Skills will launch a new platform for posting Student Labor and Work-Study positions.
- Access to JobX and Handshake will end for employers only on Monday, June 30, 2025.
- Students will no longer have access to apply for jobs through JobX starting Thursday, May 1.
- All new postings after Thursday, April 17, must be posted on 12Twenty and will not be approved if submitted in JobX.
- You may log in to 12Twenty and post positions starting Monday, April 21.
- You can create an account on UConn's 12Twenty platform.
- Students will not gain access to 12Twenty until Thursday, May 1; therefore, all postings must remain open until at least Thursday, May 15.
- Please save all necessary data, including previous job postings and applications from JobX, before this date.
- Employer Profiles will automatically be imported.
- Access to the new platform, 12Twenty, will be forthcoming from the Office of Student Financial Services.
- There will be three Q&A sessions held to address any feedback or questions you may have:
- Tuesday, April 22 from 11 a.m.–noon.
- Monday, April 28 from noon–1 p.m.
- Monday, May 5 from noon–2 p.m.

SharePoint Site Creation Changes
- Starting April 9, users can no longer create a SharePoint site within SharePoint.
- Creating a new Teams or Outlook group will automatically create a new accompanying SharePoint site.

I-9 Updates and Reminders
- I-9 Deadlines:
- Section 1 must be completed by the employee’s hire date.
- Section 2 must be completed no later than the third business day after their hire date.
- The hire date is the employee’s first compensated day of employment.
- Form I-9 Revisions:
- Please ensure you use the most up-to-date version of the I-9 form, which features a revised fourth checkbox in Section 1 and updated descriptions for List B documents in the “Lists of Acceptable Documents.”
- The current version has an Edition Date of 1/20/2025 at the bottom of the form (the old form had 8/1/2023).
- Any Supplement B I-9s completed on the previous form will not be accepted if signed after 7/31/2026.

- Please ensure that you use the most current I-9 form when completing paper copies or updating I-9s.

- The Lexington Group, Inc. is UConn’s Employee Assistance Program (EAP). The Lexington Group offers confidential, face-to-face counseling, or, in certain circumstances, video counseling, to help employees identify and resolve personal issues, regardless of their uniqueness and diversity. Examples include family and marital conflicts, stress, substance abuse, depression, and other emotional issues. CLAS Shared Services Grant Management
- For the month of March, CLAS faculty submitted 66 grant applications with a total requested amount of $40M.
- For the month of March, CLAS faculty were awarded 24 new awards with a total funded amount of $7.6M.
- Allison Goldsnider and Kayla Burgess both presented at the National Council of University Research Administrators on “Fixed Price Subawards (with New Federal Regulations)” and “Working with PIs: ScieNcv (Other Support, Current and Pending).”
CLAS Shared Services Information Technology
- Students, faculty, and staff can create a “voice profile” to help the Teams App isolate their voice from background noise and other voices.
- In creating a profile, you are training Teams to distinguish your voice from others to enhance the standard Noise Suppression tool, which can be adjusted in Teams under Settings=>Devices=>Noise suppression=>Voice isolation.
