Announcements

Annual Budget and Staffing Plan Meetings

Fall 2025/Spring 2026 Annual Budget and Staffing Meetings are actively being scheduled. For scheduling information or concerns, please contact mackenzie.murphy@uconn.edu.

CLAS Administrative Calendar Access

  • We are pleased to announce the launch of the CLAS Administrative Calendar, now available for access through the CLAS Knowledge Base.
    • This calendar consolidates key deadlines and important events, making it easier for you to stay informed and organized.
    • You can link the calendar to both web and desktop versions of Outlook for an easy point of reference.

    Save the Date: Health and Safety Training

    • Join us for presentations from the UConn Fire Department and Environmental Health and Safety (EHS).
    • Presentation topics will include:
      • Fire safety and fire extinguisher use.
      • AED, Narcan, and emergency first aid.
      • Occupational health and safety.
    •  The event will occur on Wednesday, January 15, 2025, from 9:00 AM to 1:00 PM in Storrs Hall, WW16.
    • RSVP to secure a spot.

          Earned Holiday Compensatory Time and Other Time Balances

          • Employees are responsible for tracking their own holiday compensatory time earned and used each year.
          • Holiday compensatory time earned in the 2023 Calendar Year must be used by December 31st,  2024 or it will expire.
          • UCPEA members nearing the cap of 60 banked vacation days by December 31st, 2024 were notified in late October regarding their hours and potential expiration.
          • Please be mindful of your accrued time and its expiration deadline and prioritize its use accordingly.

                Scholarship vs. Fellowship Guide

                • Please see the Scholarship vs. Fellowship Guide in the CLAS Knowledge Base.
                • This document clarifies the differences between the two types of awards and when to use each award system, as well as the tax implications of each award. The document also provides details on the processing and payment timelines for each award, considering the funding source and the awardee, including Nonresident Alien Student Awards.

                Business Class Travel & University Travel Policy

                • Per the University Travel Policy, IDC and Foundation accounts are not an appropriate funding source to support business class flights or travel.
                •  Business class travel should be used only in cases where there is a clear need or justification as to why this would be appropriate for the trip.
                  • This justification must go beyond having one segment of a flight being eight hours or more in duration.
                •  This does not impact cases where business class travel is supported as an accommodation.
                • Travelers are free to use personal funds or airline miles to upgrade the class of their flight.

                Guidelines for Non-Grant Contracts

                • Faculty, administrators, and department heads should not sign any agreements to accept funds on behalf of UConn.
                • All agreements must go through the contract review process to ensure compliance with UConn policies.
                • Contact the CLAS Shared Services Business Office at bsc@uconn.edu for help initiating an agreement.

                New Textbook Update

                • Instructors can send textbook and course material adoption details not listed in Student Admin to the generic textbook manager email address, at tm8207@bncollege.com.
                • For direct assistance, reach out to cplecity@bncollege.com.

                Telecommuting Update 2025

                • All employees who have approval from their supervisor to telecommute in the calendar year 2025 must submit a formal request through the University’s Telecommuting Form.
                • Requests may be submitted through December 31, 2025.
                  • It is the responsibility of the unit leader to ensure continuous support and services for students and other constituents.
                  • Based on the needs of the unit, it is at the discretion of the supervisor to determine the telecommuting schedules for employees within their unit.
                • Please list Deborah Shelby as the first manager outside of the bargaining unit to ensure that telecommuting requests are within the parameters of the University’s Alternate Work Arrangements Policy.

                • Monthly meetings will take place between CLAS Shared Services Management and the following:
                  • Controller’s Office will take place on Friday, January 17th.
                  • Procurement will take place on Wednesday, January 8th.
                  • Procurement and A/P will take place on Monday, January 13th.
                  • Payroll will take place on Friday, January 3rd.
                •  CLAS Business Center Monthly Topic Overview will be held on Thursday, January 9th.
                  • Mackenzie Murphy from the CLAS Dean’s Office will be presenting information on PTR.

                Professional Development Opportunities

                • LinkedIn Learning is now available at no cost to all UConn staff on Storrs campus as an e-learning resource.
                  • LinkedIn Learning offers an opportunity to develop professional skills through a digital library of over 6000 courses.
                  • Visit the Microsoft App Store and navigate to the LinkedIn Learning application to activate your license.
                •  CLAS Shared Services has a lending library with a variety of books on professional development and self-improvement.
                •  Academic Impressions offers professional development resources for higher education professionals. Resources include hundreds of hours of trainings in topics such as Academic Leadership, Advancement, Diversity, Equity, and Inclusion, Faculty Success, Leadership Development, Compliance, and more.
                •  The Lexington Group, Inc is UConn’s Employee Assistance Program (EAP). The Lexington Group provides confidential face-to-face counseling, or in certain circumstances video counseling, to assist employees in identifying and resolving personal problems no matter how unique and diverse they appear. Examples include family and marital conflicts, stress, substance abuse, depression, and other emotional issues. The Lexington Group also assists with referrals for eldercare support, childcare, as well as legal and financial guidance through our Life Care program.
                  • Employees may call The Lexington Group for immediate and confidential assistance at 1-800-676-HELP (4357) or access The Lexington Group's website. The Lexington Group is available seven days a week, twenty-four hours a day.

                Trainings

                • Cash Handling Training FY25.
                  • This training is required for anyone who submits depositing eDocs in KFS (CR, AD, CCR) or handles cash or cash equivalents for their department.
                  • Training must be completed in Learning@Work by January 15th.
                  • Please contact jeanine.lavigne@uconn.edu with any questions regarding training assignments.
                •  Concur Open Labs: Register for a Session.
                  • Travel Services will be holding bi-weekly Open Labs at 3 Discovery Drive in the Bid Room.
                  • Please come prepared with receipts and supporting documents saved to your laptop or in Concur.
                    • The next sessions will be held on January 15th, and January 29th.
                    • Half-hour slots are available between 10:00 AM to 12:00 PM.

                •  HuskyBuy Open Labs: Register for a Session.
                  • Please come prepared with your laptop, questions, and any quotes or supporting documents.
                    • Labs will be available biweekly starting on Wednesday, January 8th.

                CLAS Shared Services Grant Management

                • GMS will be actively reviewing and submitting over 800 effort reports throughout the holiday season.
                • FAQs will be sent to faculty to help them navigate how to review and approve reports.
                • FY24 IDC is scheduled to be distributed to CLAS, Department, and PIs by early January 2025. Please reach out to clasgrants@uconn.edu if you have any questions.
                • For the month of November, CLAS faculty submitted 62 grant applications with a total requested amount of $65M.
                • For the month of November, CLAS faculty were awarded 9 new awards with a total funded amount of $4.2M.

                CLAS Shared Services Information Technology

                • Verified Duo Push
                  • ITS is implementing Verified Duo Push to prevent scams like push fatigue and repeated notifications.
                  • Users will enter a three-digit code from their login screen into the Duo Mobile app to confirm authentication.
                  • This will be in place of the previous “Accept” and “Deny” buttons used in the previous system.
                  • This will go into effect December 19th, 2024.
                •  Surplus Computers
                  • Please keep in mind that if you transfer a computer from surplus to your department it is still university property and needs to be managed as such.
