April CLAS Shared Services Updates

Below is a roundup of important announcements and reminders from the Business Center. If you have a question or there is something that you'd like to include in the next roundup, please feel free to reach out to the Business Center via bsc@uconn.edu.

Announcements

Annual Year End Deadlines

  • View the complete list of University Deadlines.
  • Please note the following year end deadlines for CLAS and the University:
    • All Invoices/Payments in HuskyBuy (DV, PREQ) and Employee Payments including Travel and Employee Reimbursements and Clearing of Travel Advances and Cash Advances for FY24 – Thursday, June 20.
    • Pro-Card Reports for all Pro-Card transactions with a posting date of June 13 and prior – Thursday, June 20.
      • Go to the Purchasing website under news flash for additional information on the submission of Pro-Card statements for this period.
    • Internal CLAS Deadline for Payroll Funding Changes  Friday, May 24. 
      • University Deadline – Wednesday, June 5.
    • Internal CLAS Deadline for Financial Processing (DI, GLT, TF, ST, IB, BA, SSBA) – Friday, June 14. 
      • University Deadline – Friday, June 26.
    • Internal CLAS Deadline for Foundation Reimbursement (RFD) – Friday, June 14. 
      • University Deadline – Thursday, June 20.
      • Depts will hear from Business Center contacts for information on 6L account reimbursement.
  • Please submit all items by the internal CLAS deadlines to allow enough time for review in time for the University deadlines.

Foundation Scholarship/Fellowship Processing Timelines

  • Reminder to begin submitting all scholarships and fellowships for this upcoming Summer term and for AY24-25.
  • Predoctoral Awards are due in the respective systems by June 1, 2024.
  • All summer and fall scholarships and fellowships are held until the start of the new FY.
    • For example, a summer 2024 scholarship will be held until July and processed in FY25.
      • These will not show up in FY24 financials, regardless of if they are submitted in FY24 – summer and fall scholarships and fellowships will hit the Foundation account in FY25.
  • Once approved and processed by the University, the Foundation receives a report of current items to review and approve (generally on a monthly basis) – posting dates vary in Felix based on the information above, as well as the length of the report and when the Foundation receives this information.
  • Other Foundation Processing Information:
    • Payroll encumbrances can be reimbursed up to 6 months in advance on an RFD – all other expenses need to be paid before being reimbursed.

Fall Offer Letter Timeline

  • Graduate Assistant (GA) Offer Letter Deadlines:
    • New, incoming graduate students who will be appointed as GAs were due April 1.
    • Continuing graduate students who will be appointed as GAs by June 1.
  • GA payroll transactions for next academic year cannot be submitted until early June. Payroll will notify their processors listserv when fall processing may begin.

Last Day of Work for Gas Holding F-1 and J-1 Visas

  • GAs on F-1 and J-1 visas who will graduate in Spring 2024 cannot perform any work beyond May 4.
  • The final appointment date for GAs who hold an Academic Year 2023/2024 or Spring 2024 appointment is May 21.
    • May 4th through May 21st should be treated as time off for any graduate assistant who holds an F-1 or J-1 visa and whose degree is conferred on May 5.
      • Please remind your faculty who supervise GAs.
  • Any questions can be directed to graduatedean@uconn.edu or international@uconn.edu.

Commencement

  • Staff are encouraged to volunteer at CLAS Commencement on Sunday, May 5.
  • Ceremonies will take place at 9 a.m., 1:30 p.m., and 5:30 p.m. at Gampel Pavilion.

Classes in “Pending Department Room Assignment” Status

  • Fall 2024 lecture and seminar classes that have been assigned “Pending Department Room Assignment” will be assigned to a room controlled by the department.
    • The Registrar’s Office is not planning to assign these classes to central classrooms.
    • If a class requires a central classroom, please use EMS Room Seek in CLSS to locate available classrooms now that students have begun to enroll.
    • If you plan on assigning classes to a department-controlled classroom, nothing further needs to be done at this time.

PageUp Special Payroll Reminders

  • If a new hire cannot locate the automatic email with the link to their offer, please direct them to the UConn Applicant Portal.
    • The new hire can log in using the email and password they used to apply and accept the offer without the email notification.
  • If a new hire has accepted an offer but did not complete the UConn Hire Form, they will get email reminders directly from the Workforce Solutions team for two business days.
    • On the third business day, the department will be copied on the email reminding the new hire to complete the form.
      • Departments are encouraged to reach out to the new hire to complete the form.
      • The new hire’s data will not export to Core-CT for processing in SmartHR until this form is completed.

PageUp Onboarding Update

  • In order to improve the Onboarding experience for new employees, the onboarding portal in PageUp has been deactivated.
    • Please visit HR's New Employee Welcome page which contains resources and tasks that will seamlessly help a new hire prepare for their in-person New Employee Orientation sessions on their first day of work.

Save the Date: Staff Technology Day

  • Information Technology Services (ITS)’s annual Staff Technology Day will take place on Tuesday, June 4 in McHugh Hall.
  • This year’s conference will feature workshops and demonstrations featuring for beginner and advanced users.
  • Session information and registration will be available in April.

How Revenue is Received

  • When departments plan to bring in revenue that is not part of an academic program or through sponsored programs, they only have two options:
    • Have a check written out to the University of Connecticut and deposited into KFS.
    • Use Marketplace, which is the University’s solution to credit card payments.

New University Policy for Faculty – Modified Duties Due to Life Events

    Monthly Meetings

    • The following monthly meetings will take place between CLAS Shared Services Management and the following:
      • Office of the Vice President for Research for Financial Operations will take place on Friday, April 19.
      • Procurement will take place on Wednesday, May 1.
      • Procurement and A/P will take place on Monday, May 13.
        • Please feel free to reach out to bsc@uconn.edu with any areas of concern to be discussed at any of these meetings.

    CLAS Shared Services Lending Library

    • CLAS Shared Services has a lending library with a variety of books on professional development and self-improvement.
    • For more information on how to borrow a book, please contact emily.petry@uconn.edu.

    Professional Development Opportunities

    • UConn has partnered with Academic Impressions to offer professional development resources for higher education professionals. Resources include hundreds of hours of trainings in topics such as academic leadership, advancement, diversity, equity, and inclusion, faculty success, leadership development, compliance, and more.
    • The Office of Human Resources has partnered with The Lexington Group, Inc as the new Employee Assistance Program (EAP). The Lexington Group will provide confidential face-to-face counseling, or in certain circumstances video counseling, to assist employees in identifying and resolving personal problems no matter how unique and diverse they appear.  Examples include family and marital conflicts, stress, substance abuse, depression, and other emotional issues. The Lexington Group also assists with referrals for eldercare support, child care, as well as legal and financial guidance through our Life Care program.
      • Employees may call The Lexington Group for immediate and confidential assistance at 1-800-676-HELP (4357) or access The Lexington Group's website. The Lexington Group is available seven days a week, 24 hours a day.
    • Please see the schedule for the Graduate School’s Timely Topics Series.
      • Topics for live upcoming sessions include:
        • Graduate Admissions 2023/2024 Cycle Debrief – Thursday, May 16 at 11 a.m.

    Trainings

    • Annual Compliance and Ethics Training
    • Annual Cash Handling Training for FY24
      • This training is required for anyone who submits depositing eDocs in KFS (CR, AD, CCR) or handles cash or cash equivalents for their department.
      • Please ensure that you have completed this training as soon as possible through Learning@Work.
    • RFD (Request for Disbursement) Training
      • To review the RFD form for reimbursing a KFS account and direct payments to vendors.

              CLAS Shared Services Business Center

              The Business Center financial staff have begun year-end review and will be communicating with departments regarding various accounts and processing details, as applicable.

                        CLAS Shared Services Grant Management

                        • For the month of February, CLAS faculty submitted 74 grant applications with a total requested amount of $101M.
                        • For the month of February, CLAS faculty were awarded 16 new awards with a total funded amount of $24M.
                        • Shout-out! Haley Gillman passed the Certified Research Administrator exam, and she is expecting her first child in May!

                                  CLAS Shared Services Information Technology

                                  ITS and the Office of the Provost will co-host Staff Technology Day on Tuesday, June 4. Registration and session information will be posted in April on the ITS event page

                                            CLAS Shared Services Facility Services

                                            • We would like to inform our staff that the annual campus steam shut down for maintenance is scheduled from May 5 to May 9.
                                            • During this period, there will be no heat and certain building services will be shut down, such as autoclaves that depend on steam for operation.
