Kick Off FY23 CLAS Shared Services Updates

Fiscal Reminders

FY22 Hard Close

At this time the FY22 Hard Close date has not been confirmed. We will provide more information when it is available.

FY23 Monthly Department and Faculty Reports

  • All Faculty and Departmental Reports were distributed and include ending FY22 balances as well as any expenses and budgeted revenue for FY23. The CLAS Shared Services Business Center has budgeted for any expected summer/intersession returns and departmental IDC returns for FY23.
  • GA payrolls are scheduled to encumber in the beginning of September, once this occurs balances in the temp labor budget will reflect a more accurate depiction of the overall spending.

Start-Up Accounts/Department Startup Contributions

  • Startup accounts for new tenure and tenure track faculty are in the process of being created by the Business Center.
  • The Business Center will begin to work with departments regarding their departmental startup contributions for their new and existing faculty.

Foundation Account 6L Budgeting

Once the first set of reports are received from the Foundation the majority of 6L Foundation Accounts in the departments will show a budget based on ending FY22 funding as well as any expected endowed returns.

HR and Payroll Reminders

AAUP Payroll Black-Out Period

  • August 6–August 22: Blackout period for SmartHR transactions for all AAUP bargaining unit members.
  • August 23–August 25: Any Smart HR transactions for all bargaining unit members may be processed at this time to be effective by 8/23/22. This includes Non-Tenure Track (NTT) Faculty 8/23 Contract Renewals.
  • Reminder: (if needed) please process any NTT Contract Renewals or separations.

PageUp Training Dates (held via Learning@work by HR):

  • Regular Payroll: September 7, 2022 from 9 am to 12 pm (Register).
  • Special Payroll: September 8, 2022 from 10 am to 12 pm (Register).

Special Payroll Update: Adjunct Faculty Tutorial

  • Though most adjunct processing has taken place, details regarding the tutorial are indicated below.
  • The Special Payroll Adjunct Faculty tutorial has been updated and now reflects the new AAUP Adjunct Faculty credit rates and other changes.
  • The tutorial provides an in-depth overview of policies and contractual obligations for Adjunct Faculty, including compensation, multi-year contracts, credit limits, offer letters, dual employment, flexible schedules, and conflicts of interest.
  • Employees can access the updated tutorial (and all Special Payroll tutorials) through Saba (https://hr.uconn.edu/learningatwork/) by searching “Special Payroll” after logging in. A link to the tutorials is also available on the Special Payroll Information website: https://hr.uconn.edu/special-payroll-info/.

AY22-23 Scheduling Data

Fall 2022 Instructor Names

  • Please continue to send final updates via the registrar forms for items relating to the Fall 2022 schedule.
  • We need to be sure all Instructor names are updated in time for the 10th day census capture; due to Registrar by Wednesday, Sept 7th to allow for ample time to update.

Spring 2023 Data

  • Let us know when your Spring data for all other courses is ready. We are actively sending data over now.
  • Courses being offered at a cap of 75+ have already been sent.

Other Reminders

Travel Cards

Please have new faculty (and applicable grad students) apply for a T-Card as soon as possible.

Cancelled Flights (with Anthony Travel)

Guests – if you have any guests that have a cancelled flight, please contact Anthony Travel as quickly as possible to ensure the credit is out of the guests name so it can be transferred somewhere else in the Department, College or University.
